Large Insurance Company Client

An Auto Driveaway Case Study

Challenge

The client, a large insurance company managing an average of 500 vehicle moves annually, needed to strengthen communication and coordination between its fleet department, drivers, and service partners while managing a wide range of transportation needs. The operation required a flexible approach that combined driven and truck transportation based on vehicle requirements and timing.

The client also needed a more consistent process for urgent pickups and vehicle terminations, along with greater visibility into shipment information, order status, and overall performance. Limited visibility and inconsistent escalation processes made it difficult to quickly identify and resolve issues.

Solution

Auto Driveaway began with a comprehensive policy and process review to better understand the client’s operational requirements, service expectations, and areas for improvement.

Key improvements included:

  • Established a dedicated escalation contact and defined escalation process.
  • Implemented a 48-hour commitment for qualified orders to secure transportation.
  • Established a 72-hour escalation point for unresolved issues.
  • Integrated with the client’s fleet management company to improve communication, coordination, and information flow.
  • Provided portal access to increase visibility into individual orders, shipment status, and move-related documentation.
  • Conducted a 90-day pilot to validate the approach, identify process gaps, and make adjustments.
  • Supported the fleet team in improving select internal workflows to create greater consistency and efficiency.
  • Assigned a dedicated Account Manager to manage the day-to-day relationship with the fleet management company and provide a comprehensive view of transportation spend.
Results
The partnership delivered measurable improvements in both speed and visibility while creating a more consistent operating model.
  • Order-to-pickup time: Reduced from 14 days to 2 days.
  • Order-to-delivery time: Reduced from 20 days to 10 days, including required preventive maintenance, vehicle detailing, and body shop services.
  • Direct-move timelines: Reduced to 5 days.
  • Communication: Strengthened through weekly calls and consistent day-today coordination between the client, fleet management company, and Auto Driveaway.
  • Escalation management: Improved adherence to defined escalation protocols, allowing issues to be identified and addressed more quickly.
  • Account visibility: Dedicated account management provided a centralized view of daily activity, service performance, and transportation spend.
The Impact

Through process standardization, improved communication, technology-enabled visibility, and dedicated account management, the client moved from a reactive transportation process to a more structured and proactive operating model—significantly reducing cycle times while improving coordination across the fleet ecosystem.
